Regular meetings are held at 9:00 a.m. in the Tudhope-McIntyre Boardroom, located on the first floor of the Orillia City Centre.
Special meetings may vary in times and locations. Please check the specific agenda for details.
The Board will meet in Closed Session prior to public Board meetings, if necessary. Questions about this process should be directed to Kristine Preston, Executive Director to the Orillia Police Services Board at 705-558-9550.
Agendas
City of Orillia Police Services Board agendas are made available online by 10:30 a.m. on the Friday preceding the meeting. The complete Board agendas are also available for review by the public either electronically by request or in the Orillia Police Services Board Office.
The Board uses an electronic, paperless agenda process for their meetings, to promote environmental benefits and savings. Paper copies of agendas may be requested at a fee of $0.25 per printed facepage. [For example, a 200 page agenda, printed on two sides, would cost $50.00].

Correspondence to Board
If you would like to provide information to the Orillia Police Services Board, please review the following information:
All correspondence should be addressed to the "Orillia Police Services Board" in order to be considered for placement on a Board agenda. Correspondence of this nature will generally appear within the "Correspondence" section of the agenda.
If you would like your letter to be circulated to only certain member(s) of the Board, please specify. In this case, your letter will only be circulated to the individual member(s) of the Board and your letter will not be placed on an agenda.
Submissions may be dropped off at the Orillia City Centre at the first floor reception desk, mailed, faxed or emailed to Kristine Preston, Executive Director to the Orillia Police Services Board. Submissions must be received before 12:00 p.m. (noon), on the Tuesday prior to a regular Board meeting.
If you wish to receive a response, please include your complete mailing address with your postal code, phone number and email address as part of a covering email or cover page to your submission, in order for staff in the Board Office to contact you. Generally, correspondence will be responded to in the same manner in which it was received.
Do not include personal information within the correspondence if you do not wish this information to be published.
Note: Letters containing profanity or submitted anonymously will not be circulated or placed on an agenda.
The City of Orillia Police Services Board collects personal information in your communications to the Board, City Council, or the City of Orillia's Committees under the Municipal Act, 2001, S.O. 2001, c. 25, as amended. This information is collected to enable the Board, Council and/or the City of Orillia's Committees to make informed decisions on the relevant matter. Individuals who make submission to the Board should be aware that any personal information in their communications may become part of the public record and may be made available to the public through the agenda process which includes publication on the City of Orillia Police Services Board's website.
Delegations/Deputations to Board
Any person wishing to appear as a deputation to the City of Orillia Police Services Board at a regular meeting must complete the Deputation Request Form and submit it to Kristine Preston, Executive Director to the Orillia Police Services Board.
Deputation requests are screened by the Executive Director, in consultation with the Board Chair and the City's Chief Administrative Officer. The Executive Director will contact you by telephone, letter or email regarding your request. The Executive Director will inform the Board of requests that are not granted.
If a deputation request is granted, all presentation materials must be submitted to the Orillia Police Services Board's Office by 12:00 p.m. (noon) on the Tuesday prior to the Board meeting date.
Deputation Guidelines
There are some restrictions regarding delegations/deputations:
- The subject matter of the deputation must be within the Board's jurisdiction.
- Any person who has previously addressed the Board on a topic will not be allowed a second deputation, unless the person can prove that there is new information to present to Council.
- A maximum of three speakers will be permitted per deputation.
- Each deputation will be limited to a maximum of fifteen (15) minutes.
No more than two deputations shall be scheduled for any Board meeting, subject to the necessity to deal with matters of an urgent nature.
Deputation Process
Deputations are scheduled at the beginning of regular Board meetings only. If you are chosen to present a deputation, you do not have to read your deputation to the Board. They will have already received a copy of your written submission. Instead, simply state the reason you are appearing, the solution or action you are seeking and the reason for your request.
Following your deputation, members of the Board will then have the opportunity to ask you any further questions, but they shall not enter into a debate. Members of the Board will only interrupt a deputation on a point of order.
After the Board has heard your deputation and the members have asked you any questions that they might have, the Chair will ask you to take a seat in the gallery. Any motions arising from a deputation will be considered under the "Deputation Motions" heading of the agenda. Members of the Board will then discuss the matter and determine an appropriate course of action.
